Import an existing QuickBooks Online report

Step through the wizard to import one of the predefined reports from QuickBooks Online or one of our custom layouts, charts or dashboards. Or replicate an existing report, for example by location/department, using the Explode option.

Summary Reports

This section allows you to import the reports like the Profit and Loss, Balance Sheet and Cash Flow. A variety of options are provided for column layouts for example Month, Quarter or by a dimension like Class or Product/Service. You also have the option to add a filter to the report. If you have stored budget information in QuickBooks you can also include a comparative budget value in the report. Other options are:

Create Excel Grouping: Tick this option to have Flash Reports create Excel groupings, which can be expanded and collapsed, for each level in the report hierarchy.

Display Full Account Name: Normally the report will be created with an indented hierarchy displaying the account names. This option will override that behavior and instead produce a flat report structure which displays the full account name, including parent name(s).

Include All Accounts: The QuickBooks report only includes accounts that have movement for the period. Ticking this option will result in Flash Reports attempting to insert all the accounts into the report in their correct locations in the report hierarchy. You can choose whether to include only active accounts or inactive accounts as well. Please note the following limitations:

  • Only US reporting formats are supported currently.
  • If the QuickBooks report does not include any accounts in a specific section, for example Other Income in the Profit and Loss report, that section is omitted completely. In this case no accounts would be added for that section of the report.
  • If the report has no data at all then Flash Reports will not add any accounts.

Create Custom Styles: Create the Finatical custom Excel styles to apply color and other formatting to the report output.

Use Custom Chart Colors: Use the Finatical custom chart colors.

Chart and Dashboard Reports

We have created several sample reports with a custom layout which include a chart to illustrate what is possible with Flash Reports. We also provide a comprehensive financial overview dashboard. The chart reports also include the option to add a filter and where appropriate you can select a budget if you have those values stored in QuickBooks. See the Summary Report section above for an explanation of the other formatting options.

Detailed Reports

Several of the QuickBooks reports like the Account Payable Aging and Accounts Receivable Aging reports can be executed directly from Flash Reports.

Explode Report

The Explode feature allows you to replicate an existing report template for example by department.

  1. Create your report, for example a Profit And Loss by Quarter.
  2. Include "Department" as a filter during the report creation.
  3. Customize your report as required, adding other calculations, charts etc. using standard Excel functionality.
  4. Save your report.
  5. Now select the cell at the top of the report where the list of values for the Department filter was created.
  6. Optionally, open the list of values and select multiple Department values that you would like to replicate the report for. The report will recalculate filtering the results for the selected Departments.
  7. Select Import > Report > Explode Report.
  8. Ensure that the Company and Filter are correctly specified or update these if required.
  9. Execute the Explode.
  10. The report will be replicated on new Excel worksheets, one for each selected value, or for each department if you did not select any values.
